Absences and Missed Course Work

Life can be unpredictable, and it doesn't always cooperate with your academic schedule! You might experience events during your university studies that make it difficult or impossible to attend class or complete your work on time.

Knowing what to do in these situations can help you take prompt action that will minimize the disruption to your course progress and help your instructors and academic advising team get you back on track.

Whenever possible, you should tell your instructors in advance about any known or potential circumstances that could interfere with your ability to meet your course work obligations.

What to Do in Specific Situations

You should make your course instructors aware of any circumstances, expected or unforeseen, that could result in your inability to complete your course work in a timely manner.

In general, although you might also speak directly with your course instructors, it's best to send details in an email. That way, you'll both have a timestamped electronic record of your conversation and any agreements you have reached.

You may also need to provide supporting documentation, depending on the reason for and length of your absence.

We discuss below some common reasons that result in absences from classes and delays in course work submission, and what you should do in these situations.

This is considered an extenuating circumstance under the Senate Policy on Academic Consideration for Missed Course Work (Section 5.1.a.i).

You can use the Absence Reporting tool on eClass to self-report a short-term health condition — such as an illness, physical injury, or scheduled surgery — that leads to an absence period of 7 days or fewer.

You can seek accommodation through Student Accessibility Services. They will guide you through the process of registering with their office and connecting you with supports appropriate to your specific needs.

You can use the Absence Reporting tool on eClass to self-report a bereavement absence.

For additional support in times of grief, you can contact the Office of Student Community Relations (OSCR).

You can seek accommodation under the Policy on Academic Accommodation for Students' Religious Observances

Course Work/Components (except for Final Examinations)

You must make a formal request to your course instructor for accommodation no later than 14 days prior to the date for which accommodation is sought.

If the day of religious significance occurs within 14 days of the start of the course term, you should contact the course instructor as soon as possible to request accommodation.

Final Examinations During the Formal Examination Period for the Course Term

Regardless of when your specific exam occurs during the examination period, you must make a formal request to your course instructor for accommodation no later than 21 days prior to the start of the examination period. You will complete and submit the Religious Accommodation Agreement for Final Examinations.

This may be considered an extenuating circumstance under the Senate Policy on Academic Consideration for Missed Course Work (Section 5.1.a.iii).

Depending on the specific situation, you might use the Absence Reporting tool on eClass to self-report your absence.

The following are examples of circumstances that would not qualify:

  • Personal social obligations
  • Family or employment obligations
  • Technological issues
  • Travel unrelated to your academic program

In such cases, you should not use the Absence Reporting tool. Contact your course instructor directly to discuss the situation.

Self-Report a Short-Term Absence on eClass

You can use the Absence Reporting tool on the eClass platform to self-report certain temporary absences that prevent you from meeting your academic obligations.

To use the Absence Reporting tool on eClass, your self-reported absence must be:

  • the result of at least one of the following:
    • a short-term health condition such as illness, physical injury, or scheduled surgery;
    • the death of an immediate family member;
    • an unforeseen or unavoidable incident beyond your control
  • seven or fewer continuous calendar days in length

You only need to submit the form once to notify all your course instructors for the term of your absence.

  1. Log in to eClass using your Passport York credentials.
  2. Go into any of your course sites for the term.
  3. In the course's navigation menu, click the menu item labeled Absence Reporting.

    If there are many items on the course's navigation menu, then you may need to first click the menu item labeled More to reveal the Absence Reporting menu item.
  4. Complete the form fields. Double-check your input, as you will not be able to edit or delete the report data after submission.
  5. Click the Report An Absence button to submit it.

The system will automatically check your request against the following criteria:

  • The selected absence end date must be after the selected absence start date
  • The length of the absence must be 7 continuous days or fewer
  • The absence start and end dates must be in the current academic term
  • If you have already submitted an absence report, then the date range for a second absence report must be different than before
  • You have not already exceeded the maximum number of reports for the course term

If these criteria are met, then the submission should be successful.

After a successful submission of the Absence Reporting form:

  • All your instructors for the course term will receive notifications of your self-reported absence
  • You will see a confirmation message in your eClass notifications

You can use the Absence Reporting tool to self-report up to two such absences per 12-week course term (such as Term F, Term W, or Term SU).

You will not need to provide an attending physician's statement in support of self-reported claims of short-term health conditions, up to the maximum number of permitted uses for the course term.

Beyond that maximum number, an instructor, course department or Faculty may request supporting documentation for academic consideration requests.
